An import is a reviewable decision

  1. Read the source

Select the file, sheets, and relevant records.

  2. Confirm the meaning

Review dates, identities, roles, and hours.

  3. Account for the result

Compare source totals, exclusions, and final hours.

Start from an exported file from your payroll or agency system. CSV, TSV, XLSX, and XLS support describes file import, not a direct payroll-provider connection. File support still requires a confirmed interpretation of your layout.

Three common source layouts

Different spreadsheets. The same careful review.

The importer supports daily rows, dates across columns, and clock-in/out layouts. Review the detected settings and resolve uncertain details before confirming the records.

01

Daily rows

Each row represents an employee’s hours for a work date and role.

Employee 00042 · Aug 9 · RN · 7.5 hours

What to confirm

Confirm the work-date field, hours format, earnings codes, and whether meals are already deducted.

02

Dates across columns

One employee row has a separate hours column for each day.

Employee 00042 · Aug 9: 7.5 · Aug 10: 8

What to confirm

Confirm every selected column’s date. Exclude weekly totals and other summary columns from daily hours.

03

Clock-in and clock-out

Shift timestamps describe when work started and ended.

Aug 9, 11:00 PM → Aug 10, 7:00 AM

What to confirm

Confirm the timezone, overnight allocation, break treatment, and any daylight-saving ambiguity.

Before importing

Give the filing a complete starting point.

A pay-period total alone cannot explain who worked on each day. Gather the daily detail and keep unchanged originals so your team can answer questions during review.

  • Cover the whole quarter

Inventory every payroll and agency source, including corrections and missing periods.

  • Check for overlapping records

Find out whether agency hours or correction files are already included in another export.

  • Use saved, readable values

Confirm the worksheet and formula results. EasyPBJ does not run workbook macros or calculate formulas.

  • Remove unnecessary sensitive fields

Exclude patient information, Social Security numbers, bank details, and other data unrelated to staffing reporting.

Mapping that deserves a second look

Small details change the filing.

Keep employee IDs intact

00042 and 42 need an identity check.

Preserve leading zeros. Confirm that records from different payroll and agency sources refer to the same person before combining them.

Choose the date convention

08/09/2026 has two possible meanings.

Confirm whether the source uses month/day or day/month. Use the date worked, and check that selected records belong to the intended quarter.

Confirm how hours are written

7:30 hours = 7.5 decimal hours.

A duration is different from a decimal. Confirm how the export represents hours and whether any deductions are already included.

Separate pay codes from employment

“Regular” alone does not establish employment type.

Confirm job roles, earnings treatment, and exempt, nonexempt, or contract status using the source records and your facility’s review.

Saved import templates can help with a recurring layout. Review new pay codes, changed columns, and different reporting dates each time you reuse one.

Reconcile before exporting

Make the hours add up for a reason.

Compare original source hours with exclusions, supported adjustments, and the final hours you intend to report. Investigate differences by employee and day and keep the supporting record.

Your choice at import

Manual mapping, with optional AI help.

Review the mapping yourself

Inspect the source preview and file settings, select the right columns, and resolve questions before confirming. Manual mapping remains available when AI is not used or its allowance is exhausted.

Ask AI to propose an interpretation

With your explicit consent, OpenAI can interpret the full selected file, including personal data present in it. Provider retention applies. Review the proposed mappings and questions before accepting the records.

AI imports and chat share the facility’s included allowance. Requests pause when the allowance cannot cover another request; there is no automatic extra charge. See the privacy policy for data-handling details.
