How EasyPBJ works

From payroll files to a filing you can follow.

Bring your sources, review decisions, and filing documents together. EasyPBJ helps your team prepare the quarter and follow through on the CMS result.

Subscriptions are open. The sample uses example data and needs no account.

New to filing? Start with the PBJ reporting requirements and submission checklist.

One quarter, four connected steps

  1. Add your source files.
  2. Resolve the questions.
  3. Prepare the filing package.
  4. Confirm the CMS result.

An export or upload is a step in the process. CMS acceptance and reconciliation still need confirmation.

The filing workflow

Know what happens next.

Each stage connects the source records to a reviewable decision and a clear next action.

Step 01

Add your source files.

Bring payroll and agency hours into the same filing. Review the selected sheets, dates, employee IDs, roles, and hours before confirming an import.

  • Use CSV, TSV, XLSX, or XLS files with daily staffing detail.
  • Confirm the reporting quarter and account for every source.
  • Choose manual mapping or consent to optional AI interpretation.

In practice

Payroll and an agency each send a spreadsheet. Check whether payroll already includes the agency hours before adding both.

Step 02

Resolve the questions.

Review findings against the original records. Reconcile source hours with the hours you intend to report, and keep the reasons behind adjustments.

  • Investigate missing details, duplicates, and unusual hours.
  • Confirm employment categories and the treatment of payroll codes.
  • Keep supporting evidence with the decisions your team makes.

In practice

A source shows 7:30 for a shift. Confirm that it means seven hours and thirty minutes, or 7.5 decimal hours, before accepting the mapping.

Step 03

Prepare the filing package.

Once the required review and export checks are satisfied, generate the CMS XML, reconciliation workbook, and audit package from the reviewed filing.

  • Confirm the facility, quarter, and final staffing totals.
  • Retain the documents associated with the filing revision.
  • Review again if you change the underlying records.

In practice

A corrected agency file arrives after an export. Update and review the filing, then generate a new package so the documents match the revised data.

Step 04

Confirm the CMS result.

Your facility’s authorized submitter uploads the package in iQIES. Check the CMS reports and compare accepted records with the intended filing.

  • Retain the submission receipt and Final Validation Report.
  • Investigate rejected records and any partial acceptance.
  • Track corrections and reconcile the final CMS result.

In practice

An upload completes but CMS rejects some records. The filing still needs attention: review the report, correct the issues, and verify the next result.

A clear division of responsibility

Your records. Informed review.

Software can flag questions and organize evidence. Your facility confirms that the records are complete and that the filing reflects the staffing you intend to report.

EasyPBJ helps you

  • Interpret supported payroll layouts and review the mapping.
  • Find issues, reconcile hours, and retain supporting evidence.
  • Prepare filing documents and track submission reports.

Your team confirms

  • The source inventory, dates, identities, roles, and hours.
  • Exclusions, adjustments, and the reasons for review decisions.
  • The approved filing and its final CMS acceptance and reconciliation.

Submitting your file

Your facility handles the upload.

EasyPBJ prepares the reviewed PBJ XML package. Your facility’s authorized submitter uploads it in iQIES, then checks the CMS validation report and accepted staffing records.

Save the CMS result with the filing in EasyPBJ. If CMS rejects records, correct the source or review answers, make a new package, and check the next CMS result. Never share HARP passwords or codes.

Read the submission guide

Before you begin

  • Have your facility details and reporting quarter ready.
  • Gather daily payroll and agency records covering the full quarter.
  • Identify the person who can answer payroll questions and approve the filing.
  • Allow time to review, submit, and resolve any CMS findings before the deadline.

For PBJ consultants

Your clients. Separate facility workspaces.

Use one account to prepare filings for several nursing homes. All facilities shows the facilities you can access, their reporting periods, and where to continue. Switch clients without copying payroll or employee links between them.

Each facility has its own team permissions and free exports for up to 25 employees per CMS reporting quarter. Larger quarters and AI assistance require that facility’s subscription. An owner can invite you to an existing workspace. Review and export still require that facility’s access and approval. The facility submits its own file in iQIES.
